What is the difference between WhatsApp Business and the WhatsApp Business API?

The WhatsApp Business app is a phone app for one person. The API is an account your software connects to, so a whole team can answer from one number. If more than two people need to reply, or you want chat assignment, campaigns, chatbots or reporting, the app has already run out — and adding linked devices does not fix it.

The WhatsApp Business app lives on a handset with a small number of linked devices. Everyone sees every chat, nobody owns one, and afterwards there is no record of who replied or how long the customer waited.

The API has no app at all. It is an interface your software talks to, which means what your staff actually use is whatever inbox sits on top of it. That is the real decision: not whether to move to the API, but which inbox you move onto.

What only exists once you are on the API

  • Individual agent logins, chat assignment and internal notes on a conversation
  • Labels, saved replies and a searchable history that survives staff turnover
  • Broadcast campaigns with delivered, read and replied tracked per recipient
  • Chatbots and automated flows, including replies outside business hours
  • Connection to your CRM, ERP or online store
  • Reporting on volume and response time per agent

What the move costs you

Two things change, and both are worth knowing before you start. A number can only live in one place, so migrating off the Business app leaves the old on-device chat history behind — it does not travel with the number.

And messages you start, rather than reply to, become chargeable through Meta. On the free app a broadcast cost nothing but reached almost nobody; on the API it reaches everyone and appears on a bill. For most businesses that is the right trade, but it is a trade.

The honest advice: if two people answer your WhatsApp and the volume is low, stay on the free app. The move earns its cost at the point where chats are being missed, staff are arguing about who replied, or nobody can tell you how many enquiries came in last week.
